This Usage Data Policy explains what information Ourfirm.ai collects to improve our Services and what we explicitly do NOT collect or use. This policy is part of our broader commitment to protect your Customer Data.

Definition of Usage Data

"Usage Data" means information reflecting the access, interaction, or use of the Service by or on behalf of Customer including:

  • Frequency: How often you use the Services
  • Duration: How long your sessions last
  • Volume: Amount of activity on the platform
  • Features and Functions: Which features you access and use
  • Visit and Session Data: When you log in and how you navigate
  • Click-through and Click-stream Data: Where you click and your navigation path
  • Statistical Analysis: Aggregated metrics and derivative analytics based on the above

Critical Exclusion

Usage Data does NOT include any Customer Data or Content.

Platform Usage Metrics

  • Login frequency and session duration
  • Features accessed (e.g., document generator, research assistant, case management)
  • Navigation patterns within the interface
  • Button clicks and menu selections
  • Time spent on different screens or features
  • Number of documents created or edited (count only, not content)

Performance Metrics

  • Page load times
  • Error rates and types
  • System response times
  • API call volume (not content)

Aggregate Statistics

  • Most popular features across all users
  • Average session lengths
  • Feature adoption rates
  • User interface effectiveness metrics

What We Do NOT Collect or Use

Customer Data - NEVER Collected for Analytics:

  • Content of your documents
  • Text of your case files
  • Your prompts to the AI
  • AI-generated outputs you create
  • Names of clients, cases, or parties
  • Legal strategy or work product
  • Research queries or results
  • Notes, memos, or correspondence
  • Any substantive content you create

Not Used for AI Training:

  • Your prompts
  • Your documents
  • Your generated content
  • Any Customer Data

Not Shared:

  • Customer Data with AI model providers (beyond what's necessary to generate your requested output in real-time)
  • Your Usage Data with third parties for their marketing
  • Any personally identifiable information for analytics

How We Use Usage Data

Permitted Uses

We use Usage Data solely to:

  1. Improve Platform Performance

    • Identify slow-loading features
    • Optimize system resources
    • Fix bugs and errors
  2. Enhance User Experience

    • Understand which features users find valuable
    • Identify confusing navigation patterns
    • Improve interface design
  3. Develop New Features

  • Reading prompts to understand legal strategy
  • Examining case names or client information
  • Using Customer Data to train AI models

Technical Safeguards

Separation of Data Types

We maintain strict technical separation between:

  • Customer Data: Stored securely, encrypted, accessed only to provide Services to you
  • Usage Data: Collected separately through application telemetry, contains no Customer Data

Access Controls

  • Customer Data: Accessible only to authorized personnel for service delivery and support
  • Usage Data: Accessible to product, engineering, and analytics teams for service improvement

Data Processing Agreements

Our AI model providers (OpenAI, Anthropic, Google, Cerebras) are contractually prohibited from:

  • Using your Customer Data to train their models
  • Retaining your Customer Data beyond the immediate request
  • Sharing your Customer Data with others

Your Rights

You have the right to:

  1. Opt Out of Analytics: Contact us to request exclusion from aggregated analytics (note: this may affect our ability to provide optimal service)

  2. Access Your Data: Request information about what Usage Data we've collected about your account

  3. Deletion: Request deletion of your Usage Data upon account termination

  4. Transparency: Ask questions about our data collection practices

Compliance

This Usage Data Policy complies with:

  • California Consumer Privacy Act (CCPA/CPRA)
  • Other state privacy laws
  • Our contractual commitments in the Data Processing Addendum
  • Industry best practices for legal technology

Changes to This Policy
